Japan AI Logic Ltd. (“we”) handles information in WelcomeQR, a multilingual AI concierge for hotels and ryokan (“the Service”), and on this website (welcomeqr.jp) as follows. The Japanese version of this policy is the original; this English version is a translation.
1. Who runs the Service

We provide the Service to hotels, ryokan and other accommodations (“Partner Properties”).
2. Information we handle
(1) Questions written to the chatbot
- We send your question to AI (see section 5) to make an answer.
- We record the question, the AI’s answer, the date and time, the language used, and where the question came from (website, in-house QR code, LINE, etc.).
- We do not ask for your name or room number. Please do not write your name or contact details in your questions.
(2) “Contact staff”
- If you choose to write a message and your email address, we save them so that the Partner Property can reply, and we notify the Partner Property’s staff by email.
(3) Ratings of answers
- We record ratings (👍 / 👎) given to answers.
(4) Emergency alerts
- If a message appears to report an emergency, such as a fire, sudden illness or injury, we immediately notify the person in charge at the Partner Property by email (and by LINE, if the Partner Property chooses), in addition to answering you.
(5) Voice
- Voice input uses the speech recognition of your smartphone or browser. It is handled under the rules of its provider.
- To read answers aloud, we send the answer text to Google Cloud’s text-to-speech service.
(6) Access records
- Google Cloud, which runs our servers, keeps operation logs (IP address, date and time, browser type, etc.) for about 30 days.
(7) Cookies
- The chatbot (the Service) does not use cookies for advertising or for analyzing how you use it.
- This website (welcomeqr.jp) uses cookies within the range you choose on the cookie consent banner. You can change your choice at any time from the banner.
(8) Inquiries and Zoom meeting requests on this website
- We use the name, property name and contact details you give us only to contact you and provide information.
3. Why we use it
- To answer your questions
- So that Partner Properties can learn what guests ask and improve their information and services (through a dashboard for Partner Properties)
- To deliver “Contact staff” messages and emergency alerts to Partner Properties
- To fix problems in the Service and improve its answers
- To make statistics that cannot identify anyone (for example, the number of questions per day, topics and languages) and use them in reports to Partner Properties and to improve the Service
4. Sharing with Partner Properties
- Question records can be seen only by the staff of that Partner Property, on its dashboard. Other Partner Properties cannot see them.
- “Contact staff” messages and emergency alerts reach the Partner Property’s staff by email or other means. Those emails remain in the Partner Property’s mailbox.
5. Processing by AI
- Questions are processed by Google Cloud’s AI (Gemini on Vertex AI).
- This processing may take place outside Japan.
- Under Google’s business terms, what you send is not used to train AI.
6. Where and how long we keep it
- Records (2(1)–(3)) are stored in Google Cloud’s data center in Tokyo.
- Records are deleted automatically after 30 days.
- Statistics that cannot identify anyone (item 5 in section 3) are kept after that.
7. Giving information to others
- We do not give records to other companies or organizations, except to the Partner Property (section 4) and when required by law.
8. Keeping it safe
- Only our designated staff and the Partner Property’s staff can see records.
- Communication is encrypted.
- We are a Canadian corporation. Records are stored in Japan (Tokyo), and AI processing may take place outside Japan. We handle information with regard to the privacy rules of Canada, Japan and the countries where processing takes place.
9. About your records
- The Service does not record names, so we usually cannot tell which records are yours.
- Records are deleted automatically after 30 days.
- For questions about an email address or other details you wrote in “Contact staff”, please contact the Partner Property or us at the address above.
10. Changes to this policy
If we change this policy, we will announce it on this page.
